The Problem
Sana Sanitarywares, a dealer for brands like Simpolo, Saffron and CERA, was running its billing entirely on paper books and spreadsheets. Supplier MRPs get revised every 3 to 4 months through PDF price lists that range from clean tables to messy, image heavy catalogues, and the business needed a system where routine price updates would not mean calling a developer every time.
The Solution
Pricing is MRP based rather than fixed, with the actual sale price decided per invoice through a configurable discount, matching how the trade actually sells. Invoicing is GST compliant and replicates the business's existing physical invoice book exactly, including Bill To and Ship To fields, HSN codes, and a full SGST, CGST and IGST split. Invoices move through a draft, finalize and cancel lifecycle with automatic stock reversal, and every price change and stock movement is logged with a full audit trail. A bulk price update tool lets staff paste in a new price list or apply percentage based updates across a brand, with a review screen before anything goes live. Bulk product import pairs with an AI assisted extraction workflow, where the shop owner runs a supplier PDF through an AI tool of their choice to turn it into a structured list, keeping the app itself free of ongoing AI API costs.

The business moved off paper billing books entirely while keeping an invoice format their customers already recognise. Suppliers revise MRPs every few months, so the system was built with a bulk price update tool from day one, meaning the business can handle routine price changes themselves instead of needing us to come in for every update. Every change is tracked, and historical invoices are immutable snapshots, so later price or tax changes never alter what was already billed.
